Receptionist / Administrative Coordinator

Location: Rockville Office

IMS supports multiple bioinformatics initiatives from government and commercial institutions in public health and medical research applications. IMS is looking for a Receptionist/Administrative Coordinator to manage the front desk of our Rockville office during regular business hours. In this position, you will answer and transfer incoming phone calls as well as greet and direct employees and customers and answer questions. You will also coordinate in-house, web, and remote client meetings, conferences, and related travel. You will be responsible for supporting project managers with the development of contract deliverables, correspondence, reports, presentations, and other administrative tasks. Tasks also include: ordering and maintaining office supplies and office equipment; issuing parking permits and suite access; dispersing petty cash; handling incoming and outgoing mail, packages, and faxes; reconciling invoices; filing; running office-related errands, and reporting maintenance issues.
 

Requirements


  • Associate’s degree or two years of equivalent post-secondary education from a U.S. Department of Education accredited institution, or a high school diploma or GED issued by the appropriate state and recognized by the U.S. Department of Education and equivalent professional experience
  • 2-4 years of related professional experience
  • Demonstrated proficiency in Microsoft Outlook and Microsoft Office
  • Demonstrated proficiency in switchboard operation
  • Demonstrated strong verbal and written communication skills
  • Demonstrated ability to relay information to clients and employees in layman terms
  • Demonstrated strong problem-solving and analytical skills
  • Demonstrated customer service skills
  • Excellent attention to detail and organization skills
  • Demonstrated arithmetic and basic financial skills
  • Must be able to multi-task, meet deadlines, and work within a team
  • Ability to communicate with diplomacy and tact as well as maintain professionalism under pressure
  • Ability to use personal vehicle for running office-related errands
